Booking Terms & Conditions, Kokopelli Cottage Stoneleigh Village, EX10 0PJ
- The property known as Kokopelli Cottage Stoneleigh Village, EX10 0PJ (‘the Property’) is offered for holiday rental subject to confirmation by Garry and Jacqui Reason (‘the Owners’) to the renter (‘the Client’).
- To reserve the Property, the Client should complete and sign the appropriate Booking Form and return it together with payment of the initial non-refundable deposit (minimum 25% of the total due). Following receipt of the Booking Form and deposit, the Owners will send a confirmation e-mail. This is the formal acceptance of the booking. Payment can be made by BACS (direct bank transfer, BANK details on form).
- The balance of the rent and security deposit is payable not less than 2 months before the start of the rental period. If payment is not received by the due date, the Owners reserve the right to give notice in writing/e-mail that the reservation is cancelled & the initial deposit lost. Reservations made within eight weeks of the start of the rental period require full payment at the time of booking. Recalled payments will attract a charge of £20 on each occasion.
- A security deposit of £100 is required before stay in case of; for example, damage to property or its contents, lost keys or callouts or additional cleaning (see 8. below). However, the Security Deposit will not necessarily be the limit of the Client’s liability to the Owners. The Owners will account to the Client for the security deposit and refund the balance due within 1 week after the end of the rental period payable to first named on booking form by bank transfer to the bank account details provided by the Client. Rest assured normal wear and tear of the property and its contents will be taken into account. If anything gets broken please let us know so we can replace it before the next guests –we won’t charge for minor breakages such as crockery and glasses etc.
- The person who originally signed the Booking Form must make any cancellations in writing or by email. Cancellations made prior to 60 days, the Owner will retain only the reservation deposit (or arrange another date if requested). Between 60 and 30 days, 50% of the total rental cost and from 30 days before departure, 100% of the total rental cost. The Owners will do their best to comply with amendments to the original booking if they are requested in a reasonable period of time prior to the departure date. If we are able to re-let the booking we will refund the deposit minus a £25 administration fee. The Client is advised to have full cover for the party’s personal belongings, public liability etc, since they are not covered by the Owner’s insurance. Please take out holiday insurance to cover you for unforeseen events.
- The rental period should finish before 10.00hrs (local time) on the last day to allow for preparation of the cottage for next guests. Late stays can be prearranged only if there is availability the next day. Clients should not expect access to the property before 16.00hrs (local time).We will let you know if early access is possible.
- The maximum number of persons or dogs to reside in the property must not exceed that number stated on the Booking Form. Additional guests or dogs must be advised in writing prior to the holiday & a further charge may be applicable. We do not charge for up to 2 dogs but if after leaving, our changeover team need more than the standard time to do the changeover because of dirt or mess left by guests due to their dog(s) we reserve the right to deduct that cost from the security deposit .We expect owners of dogs to remove all dog poo from the grass and place in bins . We do not allow dogs on the beds unless you protect the covers with your own sheet or throw. Any extra washing or damaged bedding will be charged for. Please do not leave dogs unattended in the cottage if they are likely to cause any damage or bark.
- Internet is available at Kokopelli cottage via mobile broadband with unlimited data allowance.
- The Client agrees to be a considerate tenant and to take good care of the Property and to leave it in a reasonably clean and tidy condition at the end of the rental period. House cleaning is included in the rental charge, but the Owners reserve the right to make a retention from the security deposit if the property is left in an unacceptable condition. The Client also agrees not to act in a manner that would cause disturbance to those residents in neighbouring properties. The Client is responsible for the security of the Property during their stay and should take all reasonable precautions to ensure security of the cottage during periods when they are away from the Property. Smoking is prohibited at any time within the property.
- The Client shall report to the Owner’s agent without delay any defects in the Property or breakdown of any appliance in the Property and arrangements for repair and/or replacement will be made as soon as is reasonably possible.
- The Owners shall not be liable to the Client-:
(i) For any temporary defect or stoppage in the supply of public services to the Property, nor in respect of any equipment in the property, although the Owners will use their best endeavours to restore any services as soon as possible
(ii) for any loss, damage or injury which is the result of careless use of the Property, adverse weather conditions, riot, war, strikes or other matters beyond the control of the Owners - Personal belongings are at the Client’s risk. The Owners cannot accept responsibility for personal injury, illness or loss or damage related to Client’s belongings.
- Under no circumstances shall the Owner’s liability to the Client exceed the amount paid to the Owners for the rental period.
- We do not share any details with any other companies, people or organisations’ and will only contact you when relevant to your booking.
- We strongly advise you take out holiday insurance in case you need to cancel due to unforeseen circumstances.
In the event of government advice that non essential travel is not permitted or holiday cottages must close we will refund the total amount paid for bookings during the affected time. Disinclination to travel is not covered.
We may cancel bookings if the property becomes unavailable for reasons beyond our control including but not limited to flooding, fire, significant damage, failure of utility services or weather damage. In this event we will refund in full any sums you have paid. - We will not be liable for refunds due to inability to travel in bad weather.
- We do not have an EV charging point at the cottage and our domestic plugs are not suitable for this purpose and use will invalidate our insurance. The nearest charging point is at the donkey sanctuary next door.
- Due to new fire regulations from 1st October 2023 we cannot allow and candles or tea lights at the cottage. Our fire risk assessment does not cover using domestic plugs for the charging of electric vehicles or batteries or electrical items overnight or when the cottage is empty due to increase fire risk.
